POS machine for supermarket billing: what to buy and what to reuse
Compare supermarket POS equipment quotes, test the scanner and printer you already own, and check software, setup and renewal costs for each counter.
The practical answer
What equipment do you need for supermarket billing?
List the computer, scanner, printer and any scale at each counter. Ask suppliers to test the equipment you want to reuse and price replacements separately. Compare quotes for the same number of tills, including software licences, installation, training, support and renewals.
A supermarket billing counter usually needs a computer or POS terminal, billing software, a barcode scanner and a receipt printer. A weighing scale, label printer or cash drawer may also be needed, depending on how you sell. Before buying a bundle, list the devices you already own and ask the supplier to test them with the software edition in the quote.
List the equipment at each counter
Write down the make and model of each device, the connection it uses and the counter where it will sit. If you run two tills, fill out the list for both. A scanner that works at the main till tells you little about the older scanner at the second till.
| What to check | What to ask the supplier to show |
|---|---|
| Computer or touchscreen terminal | Open the proposed software on the intended device and complete a sale under a cashier login. |
| Barcode scanner | Scan a regular product and one of your own printed labels. Check that each opens the right item and quantity. |
| Receipt printer | Print a long bill and a corrected bill using the paper width you stock. Check that the totals and shop details are legible. |
| Weighing scale or label printer | Use an actual loose item. Show how the weight reaches the bill or how the till reads the scale label. |
| Second till or shared device | Run one sale at each till and check the resulting stock and sales records. |
If the supplier cannot test your device before the quote, ask them to mark it as pending and price the replacement separately. Use the weighing scale compatibility guide to prepare the model and label details.
Compare quotes for the same number of counters
Suppose you have two counters, one tested scanner and an older receipt printer. Ask each supplier to quote for two counters, keep the tested scanner and show the cost of a replacement printer if the older one fails the demo. Compare what you will pay for the same setup.
Ask for separate rows for the software edition and counter licences, devices and model numbers, installation, stock import, cashier training, support and renewals. Check which costs recur, what triggers an extra charge and who will handle a device failure after installation. The first-year cost and renewal guide has more questions to bring to the quote review.
Run one sale before deciding
Bring a packaged item, a loose item and one product with a label you print in your shop. Scan the basket, correct a quantity, take a sample payment and print the receipt. Ask the cashier to find the sale and show the stock result. If your tills depend on a local network or the internet, ask the supplier to demonstrate what staff can do during an interruption and how they resume work.
For a walkthrough in Chennai, bring your counter count, device models and sample labels to a supermarket billing demo with Oasis POS. Ask the team to show which equipment you can reuse and list the proposed setup in your quotation.
